Booking Terms &

Conditions

1. Our Contract

All bookings are made with Joro Expeditions Ltd (Uganda).

By confirming a booking with us, you agree to these Terms & Conditions.

Your booking is only valid once you receive a written Booking Confirmation from us.

2. Validity of Booking

A booking is not confirmed at the time of payment alone.

It becomes valid only after we have issued your Booking Confirmation via email or WhatsApp.

3. Deposit Requirement

A deposit is required to secure your safari.

Deposit amounts vary depending on itinerary, permits (e.g., gorilla trekking), and season.

4. 100% Refund Guarantee (Deposit Protection)

To give our guests maximum peace of mind:

You receive a 100% refund of your deposit if:

  • Permits (such as gorilla permits) are unavailable

  • We cannot confirm your chosen itinerary

  • A major change occurs that affects your ability to travel

  • You cancel within the allowed cancellation window before permits are purchased

Exceptions:

  • Gorilla & chimpanzee permits become non-refundable once purchased

  • Lodges with special cancellation rules (you will always be informed in advance)

This guarantee ensures you never risk losing money due to our internal processes or availability issues.

5. Acceptance of Booking & Final Payments

Once we accept your booking, you will receive an email/WhatsApp confirmation.

The balance of the trip price must be paid before the start of the safari.

Failure to pay on time may result in cancellation of your booking.

6. Pricing & Surcharges

Our safari prices may change based on:

  • lodge availability

  • seasonal rates

  • fuel prices

  • park fees

  • currency fluctuations

Once you have paid your deposit and received a confirmed quote, your price is locked unless:

  • government increases national park fees, or

  • lodge partners apply mandatory surcharges

Any increase above 10% gives you the right to cancel and receive a full refund of all payments made (excluding purchased permits).

7. Required Guest Information

To confirm travel arrangements, you must provide:

  • full passport details

  • nationality

  • date of birth

  • medical conditions we need to be aware of

  • arrival/departure flight details

Failure to provide correct information may affect your itinerary.

8. Health Requirements

It is your responsibility to ensure you are medically fit for the trip.

We strongly recommend consulting a travel doctor about:

  • yellow fever vaccination

  • anti-malarial medication

  • any required medication for trekking or high-altitude activities

Joro Expeditions is not liable for any health issues arising from failure to seek proper medical advice.

9. Travel Insurance

Travel insurance is mandatory for all guests.

Your policy should cover:

  • medical emergencies

  • evacuation

  • cancellation

  • baggage loss

  • personal liability

We recommend a minimum coverage of USD 200,000.

10. Flexibility & Itinerary Changes

Safari travel in Uganda requires flexibility.

Weather, wildlife movements, road conditions, or park regulations may require adjustments.

We reserve the right to modify routes or activities when necessary.

11. Major Changes Before Departure

If we must make a major change (affecting 20%+ of your itinerary), you may choose:

  • to accept the new itinerary

  • to select an alternative itinerary

  • to receive a full refund (excluding purchased permits)

12. Itinerary Changes After Departure

Unexpected events (weather, road closures, safety concerns) may require route adjustments.

Additional costs arising from such changes are the guest’s responsibility.

13. Authority on Tour

Your safari guide has full authority regarding:

  • guest safety

  • wildlife viewing rules

  • vehicle operations

  • park regulations

Failure to follow guide instructions may lead to removal from the safari without refund.

14. Acceptance of Risk

Uganda’s wilderness presents natural risks.

By booking, you acknowledge:

  • wildlife encounters carry inherent danger

  • travel conditions may vary

  • remote areas have limited medical facilities

You agree to participate with awareness of these risks.

15. Optional Activities

Any optional activities not included in your package (e.g., hot air balloon safari, cultural tours) are offered by third parties.

Joro Expeditions is not liable for these activities.

16. Complaints & Claims

If you experience any issue during your trip, please inform your guide immediately.

If unresolved, submit your complaint in writing within 30 days after your safari ends.

17. Jurisdiction

These Terms & Conditions are governed by the laws of Uganda, and any disputes will fall under Ugandan courts.

18. Severability

If any clause becomes invalid under Ugandan law, the remaining clauses remain fully enforceable.

19. Photos & Marketing Consent

You consent to Joro Expeditions using trip photos/videos for marketing purposes unless you explicitly decline in writing before your safari begins.

20. Privacy Policy

We collect only the information required to operate your safari.

Your data is used solely for itinerary planning and may be shared with trusted partners (lodges, parks, transport providers).

We do not sell or misuse your information.
